What is EaseAsset?

EaseAsset is hospital asset management software built for NABH and JCI compliance. It tracks biomedical and hospital equipment with QR codes, automates preventive maintenance schedules and reminders, monitors e-waste compliance against the 180-day rule, and generates audit-ready FMS reports — without manual registers or spreadsheets.

Core Features

Asset management built for hospital compliance

Every feature maps to a real operational pain — not a generic checklist.

📋

Complete Visibility

Every asset, every department, one dashboard. Track location, status, service history and cost of ownership without hunting through spreadsheets.

✅

NABH/JCI Compliance

Maps directly to FMS requirements — PM scheduling, calibration tracking, equipment inventory and training documentation. Audit evidence organised automatically.

🔧

Preventive Maintenance

Schedule PM, get WhatsApp alerts before deadlines hit, and maintain full service history per asset — so equipment doesn't fail when patients need it.

📱

QR-Based Requests

Any service request raised by scanning a QR code — routed to the right team instantly, tracked to closure, recorded without manual logging.

🔔

Smart Alerts

WhatsApp and email notifications reach your biomedical team before issues become failures — maintenance due, warranty expiry, e-waste deadline approaching.

📊

Audit-Ready Reports

Generate NABH FMS reports in seconds — not hours of compiling spreadsheets. Every report timestamped, traceable, ready for assessment day.

Service requests, e-waste, software, backups and forms

Everything the field app tracks beyond the register itself: the breakdown raised at the machine, the certificate that closes out a disposal, and the gate passes, purchase requests, calibrations and PM checklists in between.

Service Requests

Scan the code on the machine and raise a request against the asset itself, one of its components, or the software installed on it — with a photo, a due date and a critical flag when it cannot wait.

  • The assignees for that asset's category are filled in and notified the moment it is raised
  • Each request moves from open to closed to verified, and a photo can be made mandatory before it closes
  • It stays on the asset's record afterwards, so the service history builds itself

Evidence: a dated request for every breakdown, signed by whoever raised it, with who closed it and when

The EaseAsset Service Requests list on a phone: one open and nine closed in the last 30 days, a critical request against the monitor of a nursing-station PC, a closed request against its Windows 11 Pro, and a verified request against an infusion pump. Sample data.

E-Waste Tracking

Condemned equipment followed from the day it is condemned to the day it is disposed of, under the E-Waste Rules 2022.

  • Condemnation, segregation, pickup and disposal run in order, and each step stays locked until the one before it is done
  • Storage age is counted from condemnation: warning at 120 days, critical at 150, a violation at 180
  • The recycler's CPCB or SPCB registration, the pickup, the weight and the disposal certificate are kept against each item

Evidence: a disposal record for every condemned item, ending in its certificate number

EaseAsset E-Waste Tracking on a phone: 14 condemned items across the condemned, segregated, scheduled and disposed stages, one alert, and each item's days in storage, one of them critical at 152 days. Sample data.

Software Tracking

Every piece of software on the hospital's machines, the assets it is installed on, and when its licence runs out.

  • Each title is mapped to every asset it is installed on, with its current and previous version
  • Licences read valid, expiring within 30 days, or expired, at a glance
  • A fault in the software is raised as a service request against that asset's copy of it

Evidence: one list of what is installed where, and which licences need renewing

EaseAsset Software Tracking on a phone: 12 titles across 214 installations, two licences expiring soon and one expired, with each title's category, version, installation count and licence date. Sample data.

Backup Status

The standby equipment behind your critical machines — the spare ventilator, the second generator — and whether it is ready to take over.

  • Each backup is linked to the asset it covers
  • What is operational, which tests are due and what needs attention, on one screen
  • A backup is an asset in its own right, with its own QR code, service requests and maintenance

Evidence: proof that a failover exists for each critical machine, and when it was last tested

EaseAsset Backup Status on a phone: 18 standby machines, 15 operational, two tests due and one needing attention, each linked to the asset it covers, such as a standby ventilator for the ICU's ventilator. Sample data.

Gate Pass

Every machine that leaves the building — for service, calibration or repair — goes out on a gate pass, and a returnable one is followed until it comes back.

  • The asset is picked by scanning its QR code or searching its ID, with who handed it over and who received it
  • Marked returnable or non-returnable, and sent for service, calibration or repair
  • Approved against the signed slip, then marked returned with the date and who took it back in

Evidence: a signed record of every asset that left the building, and when it came back

The EaseAsset Gate Pass screen on a phone, on its Approved tab for October 2026: four approved gate passes, three returnable equipment items out for service or calibration with a Mark returned button on each, and one non-returnable monitor sent to a recycler. Sample data.

Purchase Request

A request for new equipment, with the quotes behind it, costed and signed off before anything is ordered.

  • Each item carries its make, model, priority, cost and negotiated price, with every quote listed
  • The negotiated total, GST and grand total are worked out as the request is filled in
  • Signed by the biomedical engineer, the department head and management, and each item is added to the register from a pre-filled form when it arrives

Evidence: the quotes, approvals and signatures behind every purchase

An EaseAsset purchase request on a phone: an infusion pump marked high priority, with who requested it, its installation date, its cost and negotiated price, two vendor quotes, and the purchase summary with GST and a grand total of 1,55,760. Sample data.

Calibration

Calibration recorded against the asset itself — done in-house with each parameter measured, or by an outside agency with its report attached.

  • Each parameter's acceptable range and measured reading, marked pass or fail, with the overall result worked out
  • Parameters saved as a template for that asset, so the same checks come up next time
  • Approved against the signed certificate, with the next due date on the asset's record

Evidence: a calibration record for every asset, with its readings, its certificate and the next due date

An EaseAsset calibration record on a phone: the calibration date and next due date, an internal calibration, and its parameters, earth leakage current and SpO2 accuracy, each with an acceptable range, a measured value and a pass, for an overall pass. Sample data.

Preventive Maintenance

Preventive maintenance done against the asset's own checklist, task by task, on a phone at the machine.

  • Assets due for PM appear on Home and open the checklist with the asset already filled in
  • Each task marked pass, fail or not applicable, with a note where it needs one, plus the spares used and whether the asset is fit to use
  • Signed by whoever performed it, the biomedical engineer and whoever accepted it, with the next PM date

Evidence: a PM record for every visit to every asset, with each task's result

An EaseAsset PM checklist on a phone: physical inspection and electrical safety tasks, each marked pass, fail or not applicable, with a note on the failed battery-backup check saying a replacement has been requested. Sample data.

How one sticker becomes the register

Every part of EaseAsset hangs off the code on the machine. That is what makes the register match the building rather than match the last time somebody updated a spreadsheet.

  1. Label itEvery asset gets a QR code, printed from the register in sheets and stuck to the machine itself.
  2. Scan itAnyone with a phone can scan it to read that machine's history or raise a breakdown, without an account and without finding the right person first.
  3. Schedule itPreventive maintenance and calibration run to their own schedules and chase the engineer as a date approaches.
  4. Retire itCondemnation, segregation, pickup and disposal run as one tracked sequence that ends in a certificate.

FAQ

Common questions about EaseAsset

What is hospital asset management software? +

Hospital asset management software tracks biomedical and infrastructure equipment across all departments — recording location, service history, maintenance schedules, and compliance status. EaseAsset uses QR codes to make this tracking instantaneous: any staff member can scan a code to raise a service request, view asset history, or log a breakdown — without using a separate app or login.

How does QR-code asset tracking work in hospitals? +

Each asset receives a printed QR code affixed to the equipment. Scanning with any smartphone opens the asset's record — full service history, PM schedule, warranty status, and a quick form to raise a service request. The request is automatically routed to the biomedical team on WhatsApp. No app download is needed for staff raising requests — the QR scan opens a mobile web interface.

How does EaseAsset help with NABH FMS requirements? +

EaseAsset maps directly to NABH Facility Management and Safety (FMS) standards. It automates PM scheduling (FMS.5), maintains calibration records (FMS.6), keeps the equipment inventory (FMS.8), and manages e-waste disposal compliance. When a NABH assessor requests FMS evidence, the reports are generated in seconds — with complete timestamped records of every maintenance action, service request, and disposal event.

Can EaseAsset track both clinical and non-clinical equipment? +

Yes. EaseAsset tracks all hospital equipment — biomedical devices (ventilators, infusion pumps, ECG machines), infrastructure assets (fire panels, HVAC, lifts), and non-clinical assets (office equipment, furniture that requires periodic maintenance). Assets are categorised by type and risk level, with different maintenance schedules appropriate to each category.

What happens when equipment breaks down? +

Any staff member scans the equipment's QR code and submits a breakdown report — in under 30 seconds, with no app to download. The request is routed to the biomedical team via WhatsApp immediately. The biomedical engineer receives the asset details, last service date, and location — and updates the repair status from their phone. Management sees the breakdown logged and resolved in real time on the dashboard.

Four products, one platform

They share the same staff, the same phones and the same audit trail, so a hospital can start with one and add the others without a second rollout.
