Document Management
Hospital document and SOP management software
EaseOps provides AI-powered SOP and document control for hospitals — version management, approval workflows, staff acknowledgements, and instant AI search across all documents. NABH Chapter 4 compliance is built in. No manual filing or paper registers.
Version-controlled SOPs, defined approval workflows, AI semantic search, and automatic audit evidence — so every staff member finds the right document and every assessor gets the record they need.
What EaseQMS does
EaseQMS manages hospital SOPs and policies with version control, approval workflows, and AI semantic search — so staff find any document by meaning, not filename. Access is logged for audit. NABH and JCI require controlled documents; EaseQMS maintains the evidence automatically, without manual registers or shared drives full of outdated versions.
SOPs exist. Nobody can find them. Old versions stay in circulation.
Most hospitals maintain policies in a shared folder, an email thread, or a printed binder. Staff don't know which version is current. The infection control SOP updated three months ago may still be the one people refer to because no one told them there was a new one. When a patient incident occurs and the assessor asks which version of the protocol was in use, no one can answer with confidence.
Updates are distributed by email with a note to "please replace the old version." Some staff read it; most don't. NABH assessors ask for access logs — evidence that staff read the updated document — and those logs don't exist. Documents due for review are forgotten until an assessor notices the last review date. Preparing document evidence before an assessment means days of manual work across departments.
How EaseQMS controls your documents
Every document — SOP, policy, procedure, form — is managed through a structured lifecycle from draft to archive. Staff always see the current approved version and nothing else.
Version control
Every document has a full version history. Only the current approved version is visible to staff. Previous versions are archived and accessible for audit — not accidentally in circulation.
Approval workflow
New and updated documents go through a configured review and approval chain before publishing. No SOP goes live without the right sign-off.
Lumen AI semantic search
Staff find any SOP or policy by meaning, not by exact filename. Searching "what do I do if a patient falls?" returns the relevant procedure directly, regardless of how it is titled.
Acknowledgement tracking
When a document is updated, relevant staff are prompted to confirm they have read it. Acknowledgements are recorded and stored as NABH-ready evidence.
Access logs
Every document view is logged with the user's identity and a timestamp. When an assessor asks who accessed the infection control SOP and when, the answer is immediate.
Expiry alerts
Documents due for periodic review are flagged automatically before the review date. No SOP goes stale without someone knowing it needs attention.
Frequently asked questions
What is document control in a hospital context?
The process of ensuring SOPs and policies are current, approved, accessible to the right staff, and not circulating in outdated versions — a core NABH and JCI requirement.
How does Lumen AI search work?
Lumen indexes all your hospital's documents and lets staff search by meaning. Typing "infection control procedure for ICU" returns the relevant policy even if those exact words aren't in the title.
Does EaseQMS support multilingual documents?
Documents can be uploaded in any language. The AI search currently works best in English; regional language support is in roadmap — ask us for current status.
Can we migrate our existing documents?
Yes — your existing SOPs and policies are uploaded during onboarding. Our team assists with the initial setup and categorisation.
